Deleting Appointments

To Delete an Appointment

1.      Open the Appointment module by either;

o      Clicking

o      Selecting Waiting Room > Appointment Book.

 

2.      If you have multiple Appointment Books in use, select the Appointment Book you wish to use via the associated drop-down list.

3.      Select the Practitioner for whom you wish to delete an appointment, using the associated drop-down list. The image above indicates that the appointment schedule for Dr. A. Practitioner is currently selected.

4.      Follow the instructions below, pertaining to the type of appointment you wish to delete.

To Delete an Appointment in a Single Time Slot

1.      Select the appointment slot.

2.      Then either;

o      Select Appointment > Delete Single or

o      Press the DELETE key on your keyboard.

 

3.      (optional) If the patient had intended to attend in relation to a Recall recorded in Clinical, and you had flagged this when their appointment was originally scheduled, you will now be alerted to the fact that this flag will be reverted.

 

4.      You may be prompted to provide a reason for deleting the appointment. See below for further information on this prompt.

To Delete an Appointment Spanning Multiple Time Slots

1.      Select one of the cells in the appointment.

2.      Press SHIFT+DELETE.

3.      (optional) If the patient had intended to attend in relation to a Recall recorded in Clinical, and you had flagged this when their appointment was originally scheduled, you will now be alerted to the fact that this flag will be reverted.

 

4.      You may be prompted to provide a reason for deleting the appointment. See below for further information on this prompt.

To Delete Part of an Appointment Spanning Multiple Time Slots

1.      Locate the appointment that spans multiple time slots. The example used here is for Anna Andrews' appointment between 10:15 and 11:00 on Saturday.

2.      Click and drag your mouse down the appointment period until you have reached the time slot you wish to delete. This may be simply the first time slot in the set, or it could be a time slot within a set as shown in the image below, where we wish to delete the period between 10:30 and 10:45, essentially splitting this appointment into two; one appointment at 10:15 and another at 10:45.

 

3.      Then either;

o      Right-click the time slot you wish to delete, and select Delete Single from the menu that appears, or

o      Press the DELETE key on your keyboard.

 

4.      (optional) If the patient had intended to attend in relation to a Recall recorded in Clinical, and you had flagged this when their appointment was originally scheduled, you will now be alerted to the fact that this flag will be reverted.

 

5.      You may be prompted to provide a reason for deleting the appointment. This prompt will indicate the time slot you are attempting to delete, giving an opportunity to confirm that you have selected the correct slot. See below for further information on this prompt.

Deleting a Recurring Appointment

1.      Locate and select an instance of the recurring appointment in the Appointment Book.

2.      The either;

o      Select Appointment > Find Appointment, or

o      Press F2.

 

3.      The Find Appointment window appears.

 

4.      Enter your search criteria using the options available in the Find Appointment window. This is the same window used for searching for any type of appointment. However, in this example you use it to search for all occurrences of a recurring, reserved appointment slot.

5.      Click Search to find all appointments that match your criteria. The example above displays all the Reserved appointments.

6.      From the list of search results, select all the appointments you wish to delete.]

o      To select a sequence of results, click the first result, hold down the SHIFT key, and then click the last result.

o      To select multiple results that are not in sequence, hold down the CTRL key and select each result individually.

 

7.      Enter a reason for the deletion, and then click to delete your selected appointments.

8.      (optional) If the patient had intended to attend in relation to a Recall recorded in Clinical, and you had flagged this when their appointment was originally scheduled, you will now be alerted to the fact that this flag will be reverted

Note that this prompt will appear only if you attempt to delete the first appointment in the series, as it is this appointment that is initially associated with the Recall.

 

The Delete Appointment Window

When deleting an appointment, you can elect to be prompted to record a reason for the deletion. This prompt is enable by ticking the Require Comment for Delete check box in Appointment Book Options.

In the Reason for Deletion text box towards the bottom of this window, enter a reason. Click to confirm the deleting (cutting) of the appointment.
